RingCentral user extension call forwarding
Use the number assigned in Phone. See the placeholder guide before entering a code. Availability and charges depend on your service and plan.
Confirm your product
Section titled “Confirm your product”These steps apply only to RingCentral user extension. If this is not your phone product, choose Other or ask your provider.
This guide is for the RingCentral user extension that receives your business calls. You need permission to edit its Call handling; your RingCentral administrator may need to grant it. For after-hours forwarding, set work hours first; with 24/7 work hours the after-hours rules are never used.
Activate your receptionist in Xaller.ai before turning on forwarding. Your existing line does not connect automatically.
Procedure reviewed: 2026-10-13. Live carrier test: not performed. A source review is not proof that this procedure works on every plan.
Forward all calls
Section titled “Forward all calls”- In the RingCentral app, open Settings, then Phone, then select Edit next to Call handling for the extension receiving your business calls.
- Turn on Forward all calls and choose Forward to external number.
- Enter your Xaller.ai number as the external destination and save. Code or destination:
{number}.
Turn it off
Section titled “Turn it off”- Turn off Forward all calls in the same Call handling settings. Your work and after-hours rules apply again.
Test this setting
Section titled “Test this setting”Call your business number from a different phone. Your RingCentral phones should not ring and your receptionist should answer without any announcement or prompt first.
Forward when we don’t pick up
Section titled “Forward when we don’t pick up”- In Settings, Phone, Call handling, select Edit and open Work hours. Keep your own phones under Incoming calls.
- Under Missed calls, choose Forward to external number and enter your Xaller.ai number. Code or destination:
{number}. - Save.
Turn it off
Section titled “Turn it off”- Set Missed calls back to your voicemail and save.
Test this setting
Section titled “Test this setting”Call your business number from a different phone during work hours and let your phones ring out. Your receptionist should answer after the last phone stops ringing.
Forward after hours
Section titled “Forward after hours”- In Call handling, select Edit Schedule and set your work hours, then open the After hours tab.
- Under Incoming calls, turn off the phones that should not ring after hours. Under Missed calls, choose Forward to external number and enter your Xaller.ai number. Code or destination:
{number}. - Save. Calls outside those hours now reach your agent.
Turn it off
Section titled “Turn it off”- Set the After hours Missed calls option back to your voicemail and save.
Test this setting
Section titled “Test this setting”Call your business number from a different phone outside your RingCentral work hours. Your receptionist should answer. If you can’t wait for closing time, test in the next after-hours window rather than forwarding all calls.
Troubleshooting
Section titled “Troubleshooting”- Your receptionist hears a “press 1 to accept” announcement, or the call drops when it answers? Don’t add the Xaller.ai number to the Incoming calls ring order or a call queue; use Missed calls or Forward all calls as described above, and ask RingCentral to turn off call screening for that route.
- Call handling settings are greyed out? Ask your RingCentral administrator for permission to edit them.
- Calls reach the company auto-receptionist instead? The business number is routed by your administrator, not by your extension’s settings.
Confirm your setup
Section titled “Confirm your setup”Call from another phone. Check that your receptionist answers, the call appears in Calls, and your expected notification arrives. Test busy and no-answer behavior separately. If anything fails, turn forwarding off and troubleshoot the route.
Test in Xaller.ai
Section titled “Test in Xaller.ai”Return to Phone, start a five-minute check and call your existing business number from a separate phone. Do not dial the assigned destination for this check. Let the selected condition happen, listen for your receptionist, say a few words and hang up. Confirm the matching call only if it was your test and it worked. An arrival alone is not success. No-answer and busy each need their own test; after-hours needs the phone-service schedule and time zone.
Tested with you records this one test, not continuous carrier verification. If it fails, check the product, destination, permissions and condition, or restore previous handling using the undo steps above.
Forward all calls overrides your work and after-hours call handling while it is on. Calls forwarded to an outside number can use your RingCentral plan’s minutes. Company numbers routed through a RingCentral auto-receptionist or call queue are set by an administrator in the Admin Portal and are not covered here.
Pausing Xaller.ai does not turn off carrier forwarding. To restore previous handling, change the settings at your phone provider.
Return to Phone — your saved setup is retained when you sign in. No phone number is included in this link.
